Case Visma: Flexible collaboration in the midst of change

Company: Visma is a software business that helps both companies and society to take full advantage of software that is critical to the smooth running of everyday life and business.
For a long time, Visma was a tenant in Kielo’s properties in Ylistönmäki and Lutakko in Jyväskylä. As a result of an organisational change, operations were concentrated in Lutakko. The decision was based on the modern office property’s central location next to the train station.
Before moving, the 550-square-metre office underwent a thorough makeover. A common lounge, various meeting rooms and a new kitchen were built in the space. Lighting and all surfaces were also renewed. The aim of the renovation was to support the transformation of work and the needs of hybrid work.
Kielo led the process and Are was responsible for the renovation. Visma was strongly involved in the entire project and the staff was carefully listened to. The process took a year in total, of which the renovation took about three months.
“Cooperation with Kielo was very flexible and smooth. The project was made easier by the fact that the existing property in Ylistönmäki served as temporary premises during the renovation,” describes Mikko Suhonen from Visma, who led the project from Helsinki.
Employee engagement is important
Before the renovation, we carefully listened to the thoughts and wishes of different personnel groups regarding changes in work.
“All plans and schedules were always visible to everyone, and employees could influence things. For example, three proposals were made for the design of the office and everyone was allowed to vote for their favorite. Cooperation worked well with all parties,” says Marita Tolvanen from Visma, who acted as the contact person for the Jyväskylä employees in the project.

Balance between remote and in-person work
There are 100 Visma employees in Jyväskylä and 45 traditional workstations at the office, divided into spaces for quiet working and collaboration. In addition, the refurbished meeting and conference rooms serve group work. The number of workstations is sufficient, at least for the time being.
Usability and comfort of the premises is also important for the employer image, even though Visma balances between remote work and work in the office.
Employees also work from home to balance everyday life. However, the lovely new office ensures that people enjoy being there. Team days and shared breakfasts are organized frequently,” says Tolvanen.
